Why do clinicians collect co-pays and deductibles?

At CCS, our model prioritizes clinician empowerment and higher pay. We believe that when you manage your own point-of-sale collections (copays and deductibles), it benefits both your business and your clinical work.

1. Business Autonomy

By handling your own collections, you function as the true owner of your clinical space. You have the total flexibility to make financial decisions that fit your business values.

  • Control: You decide when to be firm and when to be flexible.

  • Hardship Adjustments: If a client faces a sudden financial crisis, you have the immediate authority to allow a payment delay or a payment plan without needing approval from an outside billing department.

2. Clinical Integration

Money is rarely just about numbers; it is often tied to a client’s feelings of security, shame, or self-worth.

  • The Therapeutic Alliance: Addressing financial matters within the safety of the clinical relationship prevents "billing surprises" from a third-party office that could damage trust.

  • Transparency: Handling these conversations directly allows you to integrate financial boundaries into the therapeutic work, turning a logistical task into a clinical opportunity.

3. Higher Compensation

The most direct benefit of this model is your take-home pay. Most billing agencies charge 7%–10% of your gross income to "chase" payments and manage collections.

  • Lean Overhead: CCS maintains a small administrative footprint by not staffing a dedicated "collections" team.

  • Direct Payouts: By performing the simple task of swiping a card at the point of care, those administrative savings are passed directly to you in the form of higher reimbursement rates.

Best Practices for Easy Collections

To keep your billing as efficient as possible, we recommend:

  1. Card on File: Ensure every client has a stored payment method in the platform of your choosing (Ivy Pay, Stripe, etc.) before the first session.

  2. Point of Service: Collect copays at the start or end of each session to prevent balances from building up.

  3. Auto-Pay: Utilize Auto-Pay features to handle routine copays without manual effort.
