Can I log sessions in my CCS Simple Practice and opt out of CCS billing?

TLDR: The only way to opt-out of CCS billing is to ensure the chart is set to self-pay. If it is an insurance chart, the sessions will be billed. Read on to learn more! 

In the CCS ecosystem, your Simple Practice calendar is not just a scheduling tool—it is the direct trigger for insurance billing. Because of how the system syncs, logging a session in an insurance-linked chart automatically initiates a claim. If your client's chart was set up by a CCS team member, it is an insurance-linked chart. 

  • The Rule: Do not log any appointments for insurance-linked charts in the CCS calendar that you do not want billed to an insurance provider.

  • The Exception: If a client officially moves away from insurance coverage, we can adjust their settings to make it a self-pay chart so you can continue using the CCS calendar without triggering claims.

How to Transition to Self-Pay

If a client’s insurance ends or they choose to pay out-of-pocket exclusively, follow these steps:

  1. Stop Logging: Pause entry of new sessions in the current insurance chart.

  2. Request a Status Change: Email payments@collectivecounselingsolutions.com to ask that we change a client's chart from insurance to self-pay.

  3. Wait for Confirmation: Once our team updates the chart to Self-Pay, you can resume logging sessions. These will remain in your calendar for your records but will stay out of the insurance billing queue.
